Bizzabo is built for every organizer
We pay about $12k a year for a general-purpose tool, and we shape our events around its limits: free provider passes, paid vendor tickets and sponsor teams.
Our design lives outside our tools
Speaker, sponsor, venue and register sections are hand-built and pasted into Squarespace for each event, then updated by hand when anything changes.
Our format is connection
HealthIMPACT is a peer-to-peer forum, but nothing helps attendees find each other before they arrive. Our own platform can.
Peer-to-peer starts before they arrive.
Every event gets its own community. It opens a week before, so a CIO can see who's coming and plan who to meet.

Estimates. Running costs are hosting and email (about $70–100 a month) plus standard Stripe card fees. Build time is internal: I'd build it with Claude Code. Prices confirmed at signup.

Phase 0 · Foundations (≈ 2 weeks)
- Bizzabo renewal date, first 2027 event date, Bizzabo data export and feature inventory.
- Accounts: Vercel, Supabase, Stripe (test mode), Resend, GitHub. Domain access.
- Design system from our existing HealthIMPACT sections. Database and admin login.
Phase 1 · Event content, admin & pages (≈ 3–4 weeks)
- Admin for events, venues, hotels, speakers, agenda, sponsor tiers and sponsors.
- Our hand-built sections become live, data-driven pages, plus embeds for the current Squarespace site.
- Fall Forum 2026 imported as the first archived event.
Phase 2 · Registration & payments (≈ 4–5 weeks)
- Ticket types, approval queue with vendor-domain flags, Stripe Checkout, group purchases, promo codes, waitlist.
- Self-service edits, cancellations and transfers. Refunds from admin.
- Confirmation emails with QR code and calendar invite. Registrant reports, CSV export, HubSpot sync. Soft launch before opening.
Phase 3a · App, check-in & community (≈ 4–5 weeks)
- Installable attendee app: agenda (offline), personal schedule, QR badge, announcements and push notifications.
- Staff check-in by QR or name search, live headcount, works offline.
- Event community: opt-in profiles, search, connection requests, private declines, lasting connections, request limits and blocking.
Phase 3b · Polls & Q&A (≈ 2 weeks)
- Live polls and audience Q&A with moderation and a room-screen view. Targeted push notifications.
Phase 4 · Sponsor portal (≈ 4 weeks)
- Packages by card or invoice, self-edited profiles with our approval, team passes, lead scanning with consent, post-event report.
Phase 5 · Websites (≈ 4–6 weeks)
- HealthIMPACT and Purpose Events sites, podcast, past-events archive, redirects for every old link, then cancel Squarespace.

About $70–100 a month to run (Vercel ~$20, Supabase ~$25, Resend ~$20, domains), plus Stripe fees of 2.9% + 30¢ per card payment.
Risks & open questionsWhat could go wrong, and what we still need to decide
- Vendors taking free provider passes: vendor-domain flags in the approval queue, and a growing list of known organizations.
- Vendors over-using connection requests: daily limits, private declines, block and report.
- iPhone push notifications need the app installed: install prompts and on-site signage; announcements also show in the app and by email.
- Confirmation emails in spam: email authentication set up months before registration opens.
- Weak venue Wi-Fi: check-in works offline, with name search and a printed list as fallbacks.
- Attendee privacy: opt-in community, consent for lead scanning, role-based admin access, change log.
